Refund & Cancellation Policy

Short version. CourtFlow does not issue refunds. The 14-day free trial is your opportunity to evaluate the Service without paying — use it. Monthly subscriptions may be cancelled at any time from Settings → Billing; access continues to the end of the period you've already paid for, and you will not be billed again. Annual subscriptions are paid in full at sign-up and are non-refundable; cancelling prevents the next annual renewal but does not return any portion of the current term.

1. Free Trial — Your Only Evaluation Window

All paid plans include a 14-day free trial. You will not be charged during the trial period, and you may cancel at any time during the trial from Settings → Billing without owing anything. If you do not cancel before the trial ends, the plan you selected at sign-up automatically converts to a paid subscription billed at the rate displayed on the pricing page at the time you signed up. You will receive a reminder email three days before your trial converts.

The trial is the only opportunity to evaluate CourtFlow without paying. Once a paid billing cycle begins — whether monthly or annual — fees are non-refundable in all circumstances except as required by non-waivable statute (see §8 below).

2. Monthly Subscriptions

Monthly subscriptions are billed in advance for a one-month period and renew automatically on each billing anniversary until cancelled.

  • Cancel any time. You may cancel from Settings → Billing whenever you like. Cancellation takes effect at the end of the current billing period — you retain full access through that date, and you will not be billed again.
  • No mid-period refunds. The monthly fee covers a one-month service window and is non-refundable once that window has begun. We do not refund unused portions of a monthly period for any reason, including non-use.
  • Plan downgrade. A downgrade takes effect at the end of the current billing period; the new lower price applies to the next renewal. We do not retroactively refund the difference for the current period.
  • Plan upgrade. An upgrade takes effect immediately. We charge a prorated amount for the remainder of the current billing period reflecting the price difference between the old and new plans, then bill the new plan's full rate at the next renewal.

3. Annual Subscriptions

Annual subscriptions are paid in full at sign-up for a twelve-month period at the discounted equivalent monthly rate shown on the pricing page. They renew automatically on each annual anniversary until cancelled.

  • Annual fees are non-refundable. Once an annual subscription is paid, the entire annual fee is non-refundable. This applies to initial annual purchases, to annual renewals, and to accidental renewals — there is no refund window. The discount you receive by paying annually is the consideration for this commitment.
  • You can still cancel. You may cancel an annual subscription at any time from Settings → Billing. Cancellation prevents the next annual renewal and you retain full access through the end of the current annual term. Cancellation does not by itself trigger any refund.
  • Mid-term plan changes. Upgrading an annual subscription mid-term charges a prorated upgrade fee. Downgrading takes effect at the next annual renewal; the difference for the remainder of the current term is not refunded.
  • Switching from annual to monthly. A switch from annual to monthly takes effect at the end of the current annual term. The remainder of the annual term is not refunded.

4. Add-Ons (Trial Pro and Future Add-Ons)

Premium feature add-ons may be enabled on top of any subscription tier. The currently available add-on is Trial Pro ($79/month). Add-ons follow the same rules as the base subscription:

  • Activation — Activating an add-on mid-period charges a prorated amount covering the remaining days of the current period at the add-on's daily rate.
  • Cancellation — Cancelling an add-on stops billing at the end of the current period. You retain access to the add-on through that date. No refunds are issued for the unused portion of an add-on.

5. Additional Seats

Attorney and paralegal seats added beyond the included plan allowance are billed prorated from the date of addition. Removing a seat stops billing for that seat at the end of the current period; we do not refund mid-period for seat removal.

6. Failed Payments (Dunning)

If a renewal charge fails (expired card, insufficient funds, issuer decline), we retry the charge automatically through Stripe's smart-retries and send email reminders. During the dunning window, your subscription is technically past-due but your access continues. After approximately fourteen (14) days of failed retries, the subscription is moved to a suspended state: ongoing processing (court email ingestion, daily briefing, AI features) pauses, the dashboard remains read-only, and your data is preserved.

To reactivate, update your payment method in Settings → Billing → Payment Method. Your subscription resumes immediately and a fresh billing cycle begins from the reactivation date.

7. How to Cancel

  1. Sign in to CourtFlow and open Settings → Billing.
  2. Choose Cancel subscription.
  3. Confirm. You'll see the date your access ends — for monthly that's the end of the current month; for annual that's the end of the current annual term.

You will receive a confirmation email. If you cannot access Settings (for example, you have lost access to the admin email on file), contact billing@courtflow.ai from any email address listed on the account and we will help you cancel. We will not charge you for periods after a properly submitted cancellation, but we cannot refund periods you have already paid for.

8. Statutory Refund Rights

Nothing in this policy limits any non-waivable refund or cancellation right you may have under applicable consumer-protection law. Where a statute provides a refund right that this policy does not, the statute controls. CourtFlow AI, Corp. is a Florida corporation contracting with U.S. law firms and business entities; the consumer-protection statutes that most commonly apply to individual consumers generally do not extend to business-to-business subscriptions, but we will honor any non-waivable right that does apply to your specific situation.

9. Disputed Charges

If you believe a CourtFlow charge is an error — for example, you were billed twice for the same period, or charged for a seat you removed before the billing date — please email billing@courtflow.ai with the invoice number and a description of the dispute before filing a chargeback with your card issuer. Billing errors are corrected promptly and at no cost. This dispute channel is for errors only; it is not a refund channel for periods that were correctly billed. Chargebacks that bypass this informal process and contest correctly-billed charges may result in suspension of the account pending resolution, as Stripe pauses our ability to bill the affected payment method.
